About resources

Even though permissions related to resources enable you to carry out certain actions regarding your own resources, you need specific permissions over resources created by others. This is achieved by assigning resources to a role. Both default and custom roles can be given access to Devo applicationsActiveboardsalerts, and lookups.

Public resources in your domain will appear listed in their corresponding tab and you can make them available to roles with specific permissions. These permission will dictate the area of the app as well as the kind of action the role can perform, while assigning a resource will dictate the specific resource you can interact with.

Make resources available to assign

Tabs will appear empty until you create a resource in the corresponding area and share it. Check the following articles to learn how to share those resources that require it: Sharing Activeboards, Share lookups.

Permissions-resource interaction

The ability to perform actions related to resources depends on this combination of permissions and resources:

  • Assigning permissions without assigning resources will only grant theoretical abilities with no actual resource to work with (see Role permissions to know more about the actions each level involve).

  • Assigning only resources without permissions is not allowed (the tab will be disabled unless you have at least the view level of the corresponding permission).

  • The permission level determines the maximum scope of action for the resource. For example, if you set the permissions to view, you cannot assign the resource to manage. However, if you set the permissions to manage, you can choose that a specific resource is set to view.

By having the User resources permission, you will be automatically granted full access to all the resources in the domain.

All apps automatically assigned to admin

Note that all the applications in a domain are automatically assigned to the Admin role. This means that Admin users will see all the available applications in the domain under the Applications menu by default.

Follow the procedure below to assign applications to different roles.

  1. Select a role from the left area.

  2. Click the Applications tab.

  3. The list on the left contains the available resources while the list on the right contains the resources assigned to the role. Select the desired resource. In case the number of resources poses some difficulties, you can use the search above to help you find the desired one.

  4. Click the corresponding arrow to move it from one list to the other.

  5. Choose the default application from the ones added to the role. This application will be the one appearing by default when your user has only access to applications.

  6. Click Apply changes (trying to leave without applying the changes will generate a warning message prompting you to save so as not to lose changes).

  1. Select a role from the left area.

  2. Click the Activeboards tab.

  3. The list contains the Activeboards that have been marked as shareable. The procedure to assign them is the same as with Permissions; check the boxes with View and Manage levels.
    These two levels correspond to the view and edit modes in the Activeboards area.

  4. Click Apply changes (trying to leave without applying the changes will generate a warning message prompting you to save so as not to lose changes).

Triggered and defined alerts

The alerts assigned will affect both alert definitions in the Alert configuration area and triggered alerts in the Alerts history area.

  1. Select a role from the left area.

  2. Click the Alerts tab.

  3. The list contains the available Alerts divided into categories. The procedure to assign them is the same as with Permissions; check the boxes with View and Manage levels.

  4. Click Apply changes (trying to leave without applying the changes will generate a warning message prompting you to save so as not to lose changes).

  3. The list contains the lookups that have been already shared with at least one role. The procedure to assign them is the same as with Permissions; check the boxes with View and Manage levels.
