Open and manage Activeboards (Activeboard manager)

About the Activeboard manager

The Activeboard manager is a panel where you can see a complete list of Activeboards in your domain. To access it, just click the folder icon in the upper-left corner of the Activeboard area. Here you can perform the tasks described below.

What permissions do I need?

Apart from the Activeboards (manage) permission required to access the Activeboards area and manage them, you also need specific Activeboards to be shared with you on a manage basis (refer to Share Activeboards for more information).

The Activeboards displayed here are those that have been shared with you. However, if you have only been granted view access, you will not be able to perform the tasks labeled as "manage" in the management section below.

Having the User resources permissions will grant you full access to the Activeboards area and over all Activeboards in the domain.

Filter Activeboards

You can use the following options to filter Activeboards in the Activeboards Manager:

  • Search box:

    • By name: introduce the desired text in the search box and the Activeboard list will be filtered as you type, showing only those containing that string.

  • Buttons:

    • Favorites: click the Favorites button below the search box to show only those Activeboards marked as favorite by yourself, while changing the button’s color to indicate the activation of that filter.

    • Created by yourself: click the Created by me button below the search box to show only those Activeboards you created, while changing the button’s color to indicate the activation of that filter.

    • Scheduled: click the Scheduled button below the search box to show only those Activeboards that have a scheduled report, while changing the button’s color to indicate the activation of that filter.

  • Filters:

    • By tags: click the Filters button next to the search box, select the Tags dropdown and choose one or more tags. Click Apply to show only those Activeboards with those tags applied.

    • By user: click the Filters button next to the search box, select the Users dropdown and choose one or more users. Click Apply to show only those Activeboards created by those users.

When you apply filters, a Clear button appears below the Filters button so you can remove them all.

Simultaneous filters

Be aware that all these filters can be applied simultaneously and in that case, only those Activeboards meeting all the specified conditions will be shown.

You can click the expandable of an Activeboard in the Activeboard manager to see the following information:

  • Description: the text introduced when the Activeboard was created to summarize the content or to introduce any other information.

  • Created by: the name of the user that created the Activeboard.

  • Last modified:  the moment in which the latest change was performed, expressed in local time and date.

  • User tags: the tags applied to this Activeboard. If you click the + icon (or the pencil icon when there are tags already applied), you will open the menu to create and apply tags. See the section below to know more about how to create and apply tags.

Open and manage Activeboards

 

To open an Activeboard, simply click its row on the Activeboard manager or use the option explained in the table below. To manage an Activeboard, place the cursor over its row and two icons will appear:

  • Heart icon: click it to mark an Activeboard as favorite (only for you). Your favorite Activeboards are listed in the Favorite Activeboards widget of your Home page.

  • Ellipsis icon: click it to open a contextual menu with the a set of options, which depend on the access permissions you have over the corresponding Activeboard. Assuming you have manage access, the options shown are those explained below:

Open
View/Manage

Opens the corresponding Activeboard. Alternatively, you can simply click the corresponding row on the Activeboard Manager to open it.

Open in new tab
View/Manage

Opens a new tab in the browser to show the content of the corresponding Activeboard.

Set as default
View/Manage

Set the Activeboard as the default one to be shown when accessing the Activeboards area. When no Activeboard is selected as the default, no Activeboard is open upon access, and a message will be displayed prompting you to select one.

Manage user tags
View/Manage

Opens a window to create and assign tags. You can perform the following actions:

  • Create a tag: write the desired tag name inside the field, select the Create row that appears below, and click Apply. The tag will be created and assigned to this Activeboard, and will be available to apply to other Activeboards.

  • Assign a tag: click inside the field, select one from the dropdown, and click Apply.

  • Remove a tag: applied tags appear inside the field. Click the cross icon next to them and click Apply. The tag will be removed from that Activeboard. Additionally, it will be deleted in case it was assigned only to that Activeboard.

Applied tags can be seen by expanding the Activeboard info and used to filter Activeboards, as explained in the sections above.

Existing tags

Take into account that the existing tags will remain as an option to select in the dropdown as long as they are applied to at least one Activeboard; if they are removed from that Activeboard you will have to create them again.

User-dependent

Be aware that tags are user-dependent, this means that only you will be able to see and use the ones you create and therefore you cannot see or use the ones created by others.

Edit details
Manage

Edit the Activeboard's name and description.

Clone
Manage

Make a copy of the Activeboard.

Delete
Manage

Delete the Activeboard.
